Emerald Bali specializes in designing organized tours in Bali, either based on predefined models or fully customized itineraries. These tours may include hotel bookings, activities and excursions, transfers, and meals. Emerald Bali collaborates with a local concierge service that manages all on-site arrangements and payments.

2. Booking Process & Payments


2.1 Itinerary Confirmation & Deposit Payment

Once the client approves the proposed itinerary (including day-by-day activities, hotel category, free days, and payment method on arrival), they must sign a confirmation document electronically.

To secure the booking, the client must pay a 10% non-refundable deposit via invoice issued by Emerald Bali. This deposit must be paid within 7 days of receiving the confirmation document.

2.2 Final Payment

The remaining 90% of the total trip cost must be paid directly to the local concierge service upon arrival at the airport in Bali. Accepted payment methods: cash or bank transfer (including Wise).

If the client refuses to pay the remaining balance on arrival, the tour will be canceled with no refund of the deposit.

3. Modifications & Cancellations


3.1 Client Modifications Before Arrival

• Clients can request modifications up to 14 days before their scheduled arrival.
• Changes that require hotel rebooking may incur additional costs.
• If the concierge cannot accommodate a modification, Emerald Bali will propose an alternative solution.

3.2 Client Cancellation Policy

• The 10% deposit is non-refundable unless the cancellation is due to force majeure (see below).
• If the client does not show up in Bali and does not communicate their cancellation, no refund will be issued.

3.3 Force Majeure Policy

Clients may receive a full refund of their deposit if they must cancel due to:

• Serious illness or injury (medical proof required)
• Flight cancellation with no reasonable alternative
• Natural disasters, political instability, or other major unforeseen events impacting travel to Bali

If the local concierge cancels the trip for any reason, the deposit will be refunded in full.

4. Responsibilities & Liability


4.1 Role of Emerald Bali


Emerald Bali acts as an intermediary between clients and the local concierge service. We design personalized itineraries but do not operate hotels, transport, or activities directly.

4.2 On-Site Issues & Complaints

If clients encounter issues on-site (e.g., hotel not as expected, canceled activity), they must first contact the local concierge. If the issue is not resolved, they may escalate the matter to Emerald Bali.

4.3 Travel Insurance

Emerald Bali does not provide travel insurance. Clients are strongly encouraged to purchase comprehensive travel insurance covering medical expenses, trip cancellations, and unforeseen emergencies.

5. Data Privacy & Protection


5.1 Data Collection

Emerald Bali collects the following information from clients:

• Full Name
• Email Address
• Country of Residence
• WhatsApp Number
• Dietary Restrictions (if applicable)
• Number of Children (if applicable)
• Passport Information (only for hotel reservations)

5.2 Data Sharing & Confidentiality

• Passport details are shared with hotels for booking purposes only.
• All other client information remains strictly confidential.
